What is AI appointment scheduling?
AI appointment scheduling is software that books appointments through a conversation rather than a form. A customer calls or texts, says what they need and when, and the AI checks real availability, offers times, and records the booking. An AI appointment setter does the same job a front-desk person does on a scheduling call, for the customers who would rather talk than tap through a booking page.
Masheev does this on phone calls, SMS and web chat. It books, reschedules and cancels through a connected calendar or supported booking tool, using the services, durations and rules you define, and confirms the details with the customer. If nothing is connected, it takes down the request and hands it to your team to book. It schedules inbound requests only: it does not run outbound calling campaigns, collect payments or deposits, or decide clinical or professional questions about what kind of appointment someone needs beyond the rules you give it.
Where this helps
The situations this is set up for. Anything outside them goes to your team.
- Scheduling calls interrupt the person at the front desk several times an hour, each one a few minutes of reading a calendar aloud.
- A customer who wants to book at 9pm leaves a voicemail, and the back-and-forth to find a time takes until the next afternoon.
- Reschedule and cancellation calls go unanswered during busy periods, so the calendar shows appointments that are no longer happening.
- The online booking link works for some customers, but a steady share still call, and those calls land on whoever is nearest the phone.
What Masheev does
Configured around your hours, services and rules.
Books during the conversation
Masheev checks open times in your connected calendar or supported booking tool, offers options, and records the appointment before the call ends.
Reschedules and cancels
Callers can move or cancel an existing appointment by phone or text. The change is made through the same connection, so the calendar stays current.
Follows your booking rules
You define which services can be booked, how long each takes and what must be asked first. Requests outside those rules are handed to your team.
Answers the questions that come before booking
Price, duration, what to bring and where to park are answered from your knowledge base, so the caller can decide and book in one call.
Confirms in writing
After booking, Masheev confirms the details with the customer, and the conversation is saved in the shared inbox with a summary.
Falls back to a request when it cannot book
With no calendar connected, or when a request needs approval, it records what the caller wants and their preferred times and passes it to your team.
At 12:35pm on a Wednesday, a salon's two stylists are both mid-service when a client calls to book a cut and color. Masheev answers, explains that the service takes about two and a half hours using the salon's own service list, offers Friday at 10am or Saturday at 1pm from the connected calendar, and books Saturday. Masheev confirms the details with the client, and the stylists see the booking and a call summary when they next look at the screen. At 7:50pm the same client texts to move it to 2pm, and Masheev makes the change.
How to set it up
Setup time depends on your phone provider and configuration. Test before anything goes live.
Connect your calendar or booking tool
Link a supported calendar or booking tool so Masheev can see availability. Calendar connections may require approval for your account. You can start in request-taking mode without one.
Define what can be booked
List your services with durations and prices, and note anything that needs a person to approve, such as first visits or large jobs.
Set the questions to ask
Decide what Masheev collects before booking: name, callback number, reason for the visit, and anything specific to your business.
Run test bookings
Call the line and book, move and cancel a test appointment. Check that each change appears correctly in your calendar before going live.
AI phone scheduling vs an online booking link alone
| Capability | Masheev | Online booking link only |
|---|---|---|
| Customers who prefer to call | Booked on the call | Voicemail or a busy front desk |
| Questions before booking | Answered from your knowledge base | Customer has to find the answer |
| Reschedule or cancel by phone or text | ||
| Customers comfortable booking online | Keep your link, it still works | |

| Record of the conversation | Transcript and summary | Booking record only |
| Cost | From $18/mo plus usage | Often included with booking software |
What it does not do
The limits, stated plainly, so you can decide what stays with a person.
- Live booking needs a connected calendar or supported booking tool. Without one, Masheev takes the request and your team books it.
- It does not make outbound calls to fill your calendar or chase no-shows. It schedules people who contact you.
- It does not take payments or deposits. If a booking needs a deposit, your team or your booking tool handles that step.
- Complex scheduling, such as multi-visit plans or jobs that need an estimate first, should be routed to a person in your booking rules.
